Document naming convention
Naming your files according to these guidelines makes it easier for Grafostil to meet your expectations of a quality job. This means the right version of the right page, in the right place in your publication.
- File names should only include alpha-numeric characters (a-Z and 0-9), underscores (used to separate sections of the file name), and periods (used before the file extension ".PDF", ".PS")
Special characters, including but not limited to, diacritics glyphs, asterisks, ampersands, slashes, dollar signs and brackets should never be used.
These are illegal characters ( ˜ ´ ! @ # $ % ^ & * ( ) + = { } [ ] | \ ; : ” ‘ < > , ? / )
- It is preferable that the file name not exceed 30 characters without the date and identifier. Please, make company name and poroduct name as short as possible.
If your company name is Big Publisher INC and your book name is Herman Melville Moby-Dick, soft cover book with bellyband, use this convention:
Date_CompanyNameShortAsPosible_InitalOfWriterBookName_PrintSectionIdentifier
So, your supplied documents would look like this:
20190511_BigPub_hmMobyDick_CI.pdf 20190511_BigPub_hmMobyDick_COV.pdf 20190511_BigPub_hmMobyDick_MSC.pdf
Identifiers for Print Sections and Special Finishes are explained in the table below.
Date
Good pratice is follow ISO 8601 when you need to include Date in you filename. On wikipedia there is free article about that.
With one exception don't use special character for date delimiter.
Good format
For 11. May 2019. use this format
20190511
YearMonthDay, four number for Year, two for month and two for day
Bad format is
190511
two numbers for year
2019-05-11
minus sign as delimiter
2019/05\11
slash and backslash as delimiter
20 19 05 11
space is delimiter
Company Name
With respect to our customer we like to know from who we receive digital documents. Sometime products have same name. Try to avoid space and special character.
Product name
Always use whole title, no spaces, capitalising first letter of each word. It is preferable that the file name not exceed 30 characters without the date and identifier, so if necessary abbreviate the name. Identifiers – the tables below indicate the standard extensions which we use for all components of your printed products.

Revised Files
The situation may arise that after uploading a file you may need to make a correction. You should make the necessary correction in the native application and create a new PDF. Corrections are provided as individual files for each page. Add four digit page number at the end of file name ("p0001" for page 1). The revised PDF should include the letter "r1" after the page number at the end of file name, for the first revision.
For jacket, cover, case and similar just use a number representing the revision level after identifier.
20190511_BigPub_hmMobyDick_CAS_r1.pdf
In this example, page 10 has been revised twice. When submitting revised files, always add "r" after the folio, followed by a number representing the revision level ("r1" for the first revise, "r2" for the second, etc.)
